External Relations Liaison Assistant

About the Role

We are seeking a highly organized and proactive External Relations Liaison Assistant to support communication and reporting activities across multiple districts in Sri Lanka. This role works closely with government authorities, district-level stakeholders, partner organizations, and internal teams to ensure timely, quality reporting and efficient administrative support.

Key Responsibilities

Stakeholder Coordination

  • Maintain professional relationships with district-level government officials, NGO coordinators, and partner organizations.
  • Support communication and coordination with stakeholders across multiple districts.
  • Assist in organizing and coordinating stakeholder meetings, consultations, and follow-up activities.
  • Support district teams in addressing information requests and reporting requirements.

Reporting and Documentation

  • Gather, consolidate, and verify information from various districts and stakeholders.
  • Assist in preparing quarterly, annual, and other organizational reports.
  • Support the preparation and submission of documentation to relevant government authorities and regulatory bodies.
  • Draft correspondence, letters, and official communications.
  • Maintain accurate digital and physical records of approvals, stakeholders, and communication.

Administrative Support

  • Coordinate logistics for meetings, visits, and stakeholder engagements.
  • Support planning and preparation for NGO coordination meetings and district-level events.
  • Assist with board-related reporting and documentation as required.
  • Provide administrative support to the External Relations team to ensure smooth operations.

Compliance and Information Management

  • Support the tracking of regulatory reporting requirements and deadlines.
  • Assist in compiling information required for government approvals and submissions.
  • Ensure documentation is complete, accurate, and submitted within required timelines.

Qualifications and Experience

Essential

  • Diploma or Bachelor's degree in Business Administration, Public Administration, Development Studies, Social Sciences, or a related field.
  • Strong proficiency in Tamil and English, including reading, writing, and verbal communication.
  • Excellent report writing and documentation skills.
  • Strong organizational and coordination abilities.
  • High attention to detail and ability to manage multiple deadlines.
  • Strong interpersonal and communication skills.
  • Ability to work professionally with diverse stakeholders and manage challenging situations with diplomacy and professionalism.
  • Proficiency in Microsoft Office applications, particularly Word, Excel, PowerPoint, and Outlook.

Preferred

  • Experience working with NGOs, development organizations, community-based projects, or similar sectors.
  • Experience coordinating with government institutions, district authorities, or external stakeholders.
  • Exposure to report preparation, administration, coordination, or project support functions.
  • Experience preparing board reports, annual reports, or compliance-related documentation.
