Shipping (Import and Export) Documentation Officer

The Role

We are looking for a highly organized, detail-oriented, and proactive Shipping (Import & Export) Documentation Officer to join our Operations team, based at our Colombo office. The successful candidate will be responsible for coordinating export shipments, preparing accurate shipping documentation, ensuring compliance with international trade regulations, and working closely with customers, freight forwarders, shipping lines, and internal departments to ensure smooth and timely export operations.

Key Responsibilities

  • Prepare, verify, and process all export shipping documentation—including Commercial Invoices, Packing Lists, Bills of Lading (B/L), Certificates of Origin (COO), Health Certificates, and other related documents—accurately, completely, and on time, in compliance with company procedures and international regulations.
  • Coordinate with freight forwarders, shipping lines, customs brokers, customers, and regulatory authorities to ensure smooth shipment execution.
  • Arrange vessel bookings and monitor shipment schedules to ensure timely dispatch and delivery.
  • Assist with Letter of Credit (LC) documentation, ensuring compliance with customer and banking requirements.
  • Maintain compliance with export regulations, customs procedures, and company standards.
  • Maintain accurate shipping records and provide shipment status updates to relevant stakeholders.

Candidate Profile

  • Minimum 2 years of experience in shipping, logistics, export documentation, or international trade.
  • Previous experience in a food manufacturing or export-oriented company will be a distinct advantage.
  • Good knowledge of export documentation, customs procedures, Incoterms, and international shipping practices, including Certificates of Origin (GSP Form A / EUR.1) and health/phytosanitary certification for food exports.
  • Knowledge of ASYCUDA World, CUSDEC, and Sri Lanka Customs export procedures will be an added advantage.
  • Experience in handling Letter of Credit (LC) documentation and coordinating with freight forwarders and shipping lines will be an advantage.
  • Proficiency in Microsoft Office applications and ERP systems is preferred.
  • Excellent communication and coordination skills in English, both written and spoken.
  • Strong organizational, analytical, and problem-solving skills with exceptional attention to detail.
  • Ability to work under pressure, manage multiple priorities, and meet strict shipment deadlines.
