Responsibilities

  • Coordinate day-to-day administrative operations and ensure smooth functioning of the office.
  • Assist management and the Board of Directors in implementing operational plans, assigned tasks, and short-term organisational goals.
  • Coordinate communication and correspondence between management, departments, staff, external organisations, and government institutions.
  • Monitor administrative activities and follow up with department heads and team leaders to ensure timely completion of assigned duties.
  • Maintain and manage official documents, records, reports, agreements, and other administrative documentation.
  • Assist in preparing and maintaining documentation required for government regulatory and statutory requirements.
  • Coordinate with insurance companies, corporate clients, and external organisations regarding agreements, claims, payments, and other administrative matters.
  • Support the preparation and submission of tenders, quotations, proposals, and other business-related documentation.
  • Assist in coordinating marketing, promotion, and public relations activities in collaboration with external organisations and internal teams.
  • Collect and coordinate patient/client feedback and support management in implementing improvements to service quality.
  • Assist in staff coordination, training arrangements, performance monitoring, and maintaining workplace standards.
  • Coordinate meeting schedules, prepare agendas, and minutes when required, and follow up on management decisions and action points.
  • Liaise with government authorities, regulatory bodies, suppliers, service providers, and other external stakeholders when required.
  • Assist in the coordination of hospital projects, new initiatives, events, and special programmes.
  • Support departmental coordination to ensure efficient workflow and timely resolution of operational issues.
  • Perform any other administrative and operational duties assigned by management.

Qualifications

  • Bachelor's degree in Business Administration, Healthcare Administration, or a related field preferred.
  • Proven experience as an Officer in Administration, Administrative Assistant, or similar role, preferably in a healthcare setting.
  • Strong organisational and multitasking skills with attention to detail.
  • Excellent verbal and written communication skills in Tamil, English, and Sinhala.
  • Ability to work independently and as part of a team.
  • Familiarity with healthcare regulations is an asset.
  • High level of discretion and confidentiality.
  • Proficiency in MS Office Suite.
