Project Background

SAFE Foundation is a non-profit organization registered under the Voluntary Social Services Act as a National NGO, working with marginalized and vulnerable communities and children for more than 19 years. The project “Together We Rise (TWR)” has been implemented by SAFE Foundation for three years. The project focuses on strengthening the capacity, participation, and sustainability of Civil Society Organizations (CSOs) and community-based organizations. The project works with CSO partners in Kurunegala, Puttalam, Kandy, and Nuwara Eliya districts.

Scope of the Note Taker

The selected Note Taker will attend district-level sessions and take notes of the event itself, feedback, questions, concerns, and recommendations shared by participants. Based on the feedback received during these sessions, the selected person will prepare four district-level feedback reports, one for each district. Subsequently, the district-level reports will be consolidated into two regional-level feedback reports representing the NorthWestern and Central provinces.

Responsibilities of the Note Taker

  • Participate in a briefing with SAFE Foundation to review the reporting template, note-taking protocols, session agenda, participant specifications and feedback tools.
  • Attend training / discussion sessions conducted in the target districts: Puttalam, Kurunegala, Kandy and Nuwara Eliya, and take detailed, accurate notes on plenary discussions, feedback, considerations, priority areas, cross-cutting issues and emerging themes and recommendations of the stakeholders.
  • Collect and check completed questionnaires, as necessary, ensuring forms are filled out clearly and completely.
  • Capture participant questions, key opinions, expectations, and recommendations raised by participants.
  • Maintain neutrality, confidentiality, and respect for participants throughout the session.
  • Prepare a structured district-level feedback report for each of the four districts combining both quantitative and qualitative findings.
  • Share draft reports with SAFE Foundation for review and revise based on feedback.
  • Consolidate all district-level findings and prepare provincial-level reports for each province.

Qualifications for a Note Taker

  • A Degree from a recognized university or higher proficiency in a relevant field.
  • Preferred working experience in inclusive-related projects, especially women-led, youth-led, and people living in vulnerable situations.
  • Familiarity working with CSOs, especially in target districts.
  • Proven report writing experience in donor-funded projects, especially in EU projects.
  • Proven experience in preparing feedback reports, assessment reports, evaluation reports, or research reports for development projects, community programs, or training initiatives.
